This policy is written to reflect how AlexSync operates and to address privacy laws that may apply to us or to the businesses we serve. It is provided for general information and is not legal advice. Some rights described here depend on tools and processes we are still building; where that is the case, we honor requests manually in the meantime.
This Privacy Policy explains how AlexSync LLC ("AlexSync," "we," "us," or "our") collects, uses, shares, and protects information in connection with our website and our after-hours answering and dispatch software (together, the "Service"). By using the Service, you agree to this policy.
1. Who this policy covers
AlexSync provides software to service and trade businesses (our "Customers"). Two groups interact with us, and we play different roles for each:
- Customers: the businesses that subscribe to AlexSync. For their account information, we act as a business that controls the data (a "controller").
- End Callers: the people who call a Customer's phone line that Alex answers. For information about End Callers, we act as a service provider or processor on behalf of the Customer, which controls that data.
2. Information we collect
From Customers
Account and contact details (name, business name, email, phone, mailing address), business configuration (trades, rates, service area, hours, technician and dispatcher details), login credentials, support communications, and billing details processed through our payment provider.
From calls Alex handles (End Caller information)
When Alex answers a call for a Customer, we process the call so the business can respond. This may include the caller's phone number, name, service address, the nature and details of the request, and an audio recording and/or written transcript of the conversation. We collect this on behalf of, and for the use of, the Customer whose line was called.
Automatically
Standard technical data such as IP address, browser and device type, and usage activity, collected through cookies and similar technologies to operate, secure, and improve the Service.
3. How we use information
- To answer, understand, route, and document calls, and to create and dispatch jobs for Customers.
- To provide, maintain, secure, troubleshoot, and improve the Service.
- To process subscription payments and send Service-related messages.
- To respond to support requests and enforce our Terms.
- To comply with legal obligations and protect rights and safety.
We do not use the content of End Caller calls to train general-purpose AI models. Call processing is performed to deliver the Service to the Customer.
4. Call recording and consent
Calls handled by the Service may be recorded and transcribed. Recording and wiretap laws vary by state. Some states require that all parties to a call consent to being recorded ("all-party consent" states); others require only one party. Because the Customer controls its own phone line and its relationship with its callers, each Customer is responsible for providing any legally required notice and obtaining any legally required consent for the recording and transcription of its calls, and for complying with the laws of the states in which it and its callers are located.
AlexSync provides features to support notice and consent (for example, a spoken notice at the start of a call), but the Customer is responsible for enabling and using them appropriately. If you are an End Caller and do not consent to being recorded, you should not continue the call, and you may contact the business you called directly.
5. Our role with End Caller data (processor)
For information collected from End Callers, AlexSync acts as a service provider/processor for the Customer, which is the controller. The Customer determines how information about its callers is used. We process that information only to provide the Service and as permitted by our agreement with the Customer. If you are an End Caller seeking to access, correct, or delete information tied to a call, please contact the business you called; we will assist that business in responding.
6. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only as needed to run the Service:
- With the Customer you contacted, so it can respond to and service your request.
- With service providers (sub-processors) that power the Service, under contracts limiting their use of the information to providing services to us. Our current sub-processors include, for example: Twilio (telephony and messaging), Anthropic (AI language processing), Amazon Web Services including Amazon Polly (voice and hosting), Supabase (database and authentication), Railway (application hosting), and Stripe (payment processing).
- For legal and safety reasons, where required by law or to protect rights, safety, and the integrity of the Service.
- In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy.
7. Your privacy rights
Depending on where you live, you may have some or all of the following rights regarding personal information about you: to know or access what we hold, to correct it, to delete it, to obtain a portable copy, to opt out of sale or targeted advertising (note: we do not sell personal information or use it for targeted advertising), and to not receive discriminatory treatment for exercising your rights.
California residents (CCPA/CPRA)
If you are a California resident, you have the rights to know, delete, correct, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined under California law. You may exercise your rights using the contact details below, and you may designate an authorized agent to act on your behalf. We will not discriminate against you for exercising these rights.
Residents of other states
Residents of states with comprehensive privacy laws (including, for example, Virginia, Colorado, Connecticut, Utah, Texas, and others as these laws take effect) may have comparable rights to access, correct, delete, and obtain a copy of personal information, and to opt out of certain processing. We honor these rights as required by applicable law.
How to exercise your rights
Contact us at info@alexsync.io. We will verify your request as required by law and respond within the timeframe the applicable law requires. If your request concerns information tied to a call you made to one of our Customers, we will direct or assist as described in Section 5.
8. Data retention
We keep information for as long as needed to provide the Service, meet legal, tax, and accounting obligations, resolve disputes, and enforce agreements. Customers may request deletion of their account data, and End Caller data is retained per the Customer's configuration and our agreement with the Customer, subject to records we are required to keep.
9. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. International users
The Service is operated in the United States and intended for U.S. businesses. If you access it from outside the United States, you understand your information will be processed in the United States.
11. Children
The Service is intended for businesses and is not directed to children under 13, and we do not knowingly collect personal information from children.
12. Changes to this policy
We may update this policy from time to time. We will update the "Last updated" date above, and material changes will be communicated through the Service.
